Getting started guides

Everything you need to get up and running, whether you're setting up a yard or joining one.

New yard owner? Follow these steps in order to get your yard fully set up and ready for liveries and staff.
1

Get your yard owner code

The YardTask platform admin generates a one-time yard owner code for you from the Yards management area. You'll receive this code to use during registration — it's what gives you admin access to set up your own yard.

2

Register your account

Click Register on the homepage and enter your name, email, password, and your yard owner code. After verifying your email with the one-time code we send you, you'll be taken straight to the yard setup screen.

3

Set up your yard

Enter your yard name and optionally upload a logo. These appear in your sidebar and header throughout the app, and on communications with your liveries.

4

Configure your settings

Go to Settings to tailor the app to your yard:

  • Livery types — choose which you offer (Full, Working, DIY, etc.)
  • Visitor types — set the contractor types you track (Farrier, Vet, Physio, etc.)
  • Request cut-off times — optionally block late requests per day
  • Notification email — where new request alerts are sent
  • Signup codes — your livery and staff codes for onboarding new users
5

Set up areas

Go to Areas to create zones like Barns, Fields, and Arenas. Areas help group horses and scope staff tasks to the right part of the yard. Tick Available to book on arenas or schools so liveries can book time slots in them.

6

Add services & pricing

Go to Services to add the services you offer and set the cost for each — for example, Full Livery £150/week, Rug Change £5, or Hold for Farrier £3. These appear on livery request forms and feed automatically into your monthly billing.

7

Invite liveries & staff

Go to Liveries to manage who has access. Share your livery signup code with horse owners and your staff signup code with your team. They register using the code to join your yard — no manual account creation needed.

8

Add horses

Once liveries join they can add their own horses, but you can also add horses from the Horses page. Assign each horse to an area so staff know where to find them, and set the livery type so billing is calculated correctly.

9

Run your yard day-to-day

Once everything is set up, your daily tools are:

  • Daily Schedule — see today's tasks grouped by area and owner
  • All Requests — manage incoming service requests
  • Monthly Billing — track charges and mark payments as paid
  • Notice Board — post updates and announcements to your yard
  • Reports — review maintenance issues raised by liveries
