YardTask — Livery Management

This policy explains how your personal data is collected, used, and protected in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are

YardTask is operated by the yard ("we", "us"). We are the data controller for the personal data you provide when registering and using this application. For any data protection query, contact the yard directly using the details provided when you joined.

2. Data we collect

We collect and store the following personal data to run livery services:

  • Account data: your name and email address (used to log in and contact you).
  • Horse profiles: details you add about horses in your care (type, size, colour, age, notes).
  • Rugs and feed/supply lists you maintain for each horse.
  • Service and space requests, and their status.
  • Billing records: services requested and their costs, and payment status.

3. Lawful basis for processing

We process your data under contract (to deliver the livery services you request) and our legitimate interests (to administer the yard, schedule staff, and communicate with you about your horse). Billing data is processed under legal obligation.

4. How we use your data

We use your data to:

  • Create and manage your account.
  • Schedule and carry out services and arena bookings for your horse.
  • Notify you when a task is complete or a feed/supply item is running low.
  • Calculate and communicate your monthly bill.

5. Data sharing

Your data is only visible to you and authorised yard staff (administrators). We do not sell your data. Service and billing data may be shared with payment providers where needed to process payments.

6. Data storage and security

Your data is stored securely by our platform provider. Passwords are hashed and never stored in plain text. Access is restricted to authorised staff and protected by authentication.

7. How long we keep your data

We keep your data for as long as you have an active account with the yard, plus any period required for billing, tax, or legal record-keeping. Billing records are retained for the period required by HMRC.

8. Your rights

Under UK GDPR you have the right to:

  • Be informed about how your data is used (this policy).
  • Access the personal data we hold about you.
  • Rectify inaccurate data.
  • Request erasure of your data ("right to be forgotten").
  • Restrict or object to processing.
  • Data portability.
  • Withdraw consent at any time (where processing relies on it).
  • Lodge a complaint with the ICO (ico.org.uk).

9. Exercising your rights

To access, correct, or request deletion of your data, use the options in your My Account page, or contact the yard directly. We will respond within one month, as required by law.
